Page Numbering

How to Get the Page Number at the Bottom of Each Introductory Page and the Secondary Page Numbers at the Top of the Page -- Using MICROSOFT WORD

If each chapter is in a separate file:

1. Insert the secondary page numbers by doing the following

a. Open the file for Chapter I ;

b. Click on Insert ;

c. Select Page Numbers ;

d. Under Position, choose Top of Page; under Alignment choose Right ;

e. Click on the Show Number on First Page box, deleting the x or checkmark ;

f. Click on Format ; select Start at, and type in page number with which that chapter should begin. (This step is not necessary for Chapter I.) ;

g. Click on OK .

2. Insert page number on the first page of each file (chapter) by doing the following:

Start by placing the cursor on the first page of the file.

a. Click on View ;

b. Select Header and Footer ;

c. Click on Switch Between Header and Footer (to switch to Footer) ;

d. While in Footer, click on # (Page Numbers) ;

e. Click on Center (to center the page number) ;

f. Close Header and Footer ;

Repeat steps (1-2) for each file (i.e. each Chapter).

If all of the chapters are in one file:

1. Put each chapter in a separate section by doing the following:

a. Place cursor at end of last page of Chapter ;

b. Click on Insert ;

c. Choose Break ;

d. Under Section Breaks, choose Next Page ;

e. Click on OK ;

Repeat steps (a-e) for each chapter. This will make each Chapter a separate Section.

2. Insert secondary page numbers by doing the following:

a. Place the cursor on the first page of the section ;

b. Click on Insert ;

c. Select Page Numbers ;

d. For position, choose Top of Page and Right ;

e. Click on Show Number on First Page box, deleting x or checkmark ;

f. Click on OK .

3. Insert introductory page number by doing the following:

a. Place the cursor on the first page of the section ;

b. Click on View ;

c. Select Header and Footer ;

d. Click on Switch Between Header and Footer (to switch to Footer) ;

e. Click on # (Page Numbers) ;

f. Click on Center (to center the page number) ;

g. Close Header and Footer.

Repeat steps (2-3) for each section.

A Note on Margins:

Secondary page numbers appear in the Header; introductory page numbers (or, the number on the first page of each chapter) appear in the Footer. Secondary page numbers should be positioned 1'' from the top edge of the page; introductory page numbers should be positioned 1'' from the bottom edge of the page. In most programs the default settings for the Header and the Footer are .5''; therefore, you must change the settings for both the Header and the Footer to 1''.Ý In order to maintain approximately one double space between the page number and the text, change both your top and bottom margins to 1.3'' or 1.4''.

Contents Page Formatting

Note: Use single space setting and "return" twice wherever double spacing is required.

1. Recommended tab settings on the ruler bar:

a. Decimal tab at .4" from left margin (for chapter Roman numerals) .

b. Left justified tab at .6" from left margin. (for chapter titles) .

c. Left justified tab at 1" from left margin. (for first level headings) .

d. Left justified tab at 1.4" from left margin. (for second level headings).

e. Left justified tab at 2.0" from left margin. (for third level headings)

f. Right justified tab at 5.95" from left margin. (for referenced page numbers).

2. Section Title:

a. On 2" top margin type the word "CONTENTS".

b. Double space.

c. With mouse or arrow keys, move cursor back up to the word "CONTENTS".

d. Click on centered symbol above ruler at top of page.

3. Listing Introductory Pages:

a. Move cursor back to the position double spaced below CONTENTS.

b. Tab over to right justified setting.

c. Type "Page".

d. Double space.

e. Type "ACKNOWLEDGEMENTS.

f. Tab to right justified tab.

g. Type referenced page number.

h. Double space.

i. Type "CONTENTS".

j. Tab to right justified tab.

k. Type referenced page number.

l. Double space.

m. Type "TABLES" .

n. Tab to right justified tab.

o. Type referenced page number.

p. Double space.

q. Repeat "m" through "p" for "FIGURES," "SCHEMES," "MAPS," et al., as needed.

4. Chapter Listings:

a. Type "CHAPTER" flush to left margin.

b. Double space.

c. Tab once from left margin, type chapter Roman numeral and the period.

d. Tab again and type the chapter title.

e. Tab to right justified tab setting and add referenced page number.

f. For multi-line chapter titles:

1) Follow instructions above.

2) With the mouse or arrow keys, insert cursor within chapter title preceding its point of overlap into the referenced page number column. Return.

3) Tab until beginning point of secondary line aligns with beginning point of preceding line.

5. To add Subheadings:

a. To add First Level Headings:

1) Double space.

2)Tab three times.

3) Type the first level heading.

4Ý Tab to right justified setting.

5) Type correct referenced page number.

b. To add Second Level Headings.

1) Double space.

2) Tab four times.

3) Type the first level heading.

4) Tab to right justified setting.

5) Type correct referenced page number.

c.To add Third Level Headings:

1) Double space.

2) Tab five times.

3) Type the first level heading.

4) Tab to right justified setting.

5) Type correct referenced page number.

d. For Multi-line Headings:

1) Repeat instructions above as per appropriate heading level.

2) Insert cursor within heading preceding its point of overlap into the referenced page number column. Return.

3) Tab until beginning point of secondary line aligns with beginning point of preceding line.

4) Using space bar, add 2-4 spaces. (Note: Be sure to use the same number of additional spaces in all multi-line headings.)

Note: Double space whenever changing heading levels.

Single space between successive same level headings.

6. Listing References:

a. Double space following last chapter or heading listing.

b. Type REFERENCES flush to left margin.

c. Tab over to right justified setting.

d. Type referenced page number.

7. Listing Appendix:

a. Double space.

b. Type "APPENDIX A:" Tab once, and type appendix title.

c. Tab to right justified tab, and type referenced page number.

d. Double space.

e. Repeat steps a through d for each appendix listing.

f. For multi-line appendix titles:

1) Repeat instructions above

2) Insert cursor within appendix title preceding its point of overlap into the referenced page number column.
Return.

3) Tab until beginning point of secondary line aligns with beginning point of preceding line.

4) Adjust tabs between end of last line of appendix title and referenced page number for consistent vertical alignment of referenced page numbers.

References/Hanging Indentation

Arranging References listings in "hanging-indented"
(top line flush with left margin, following lines indented) format

1. Find the ruler at the top of the page.

2. At the 0" point are two trapezoids (left margin markers) with their points touching in the middle.

3. Using the cursor, pull the bottom half of this figure to the .5" mark. (The top trapezoid will come along for the ride.)

4. Once in place, move the cursor to the top trapezoid and return it to the 0" point on the ruler.

5. Type each set of source data.

6. Use the return key to separate sources.
